Employee Benefits Communication

Employee Communication & Messaging (OE, Utilization & Ongoing Campaigns)

We know that the world of healthcare is complex and creates challenges for your HR team and employees, so we have a team and process in place to educate and drive people to action.

We offer various educational resources to our clients and their employees at Open Enrollment and throughout the year.  Our clients benefit from a customized employee benefits communication strategy based on your employee population’s needs.

Some of the Employee Benefits Communications we currently provide

  • Open Enrollment Communications

At open enrollment, Exude’s team will communicate information related to your benefit plans using a method that makes sense for you and your employees.  Employees may also schedule private, one on one meetings with a dedicated representative to answer questions about open enrollment and support them in the decision-making process.

  • Virtual Open Enrollment

Instead of the traditional open enrollment process, organizations have the option of hosting it virtually, providing greater flexibility. A well-planned virtual open enrollment will help employees make the best choice for their families and show that you care about their health even when they’re off the clock, something that helps your organization stand out among competitors.

  • 365 Day Communication Campaign

Once we define the appropriate communication strategy for your employees, we can create a 365 customized employee benefits communication campaign for your employees. We use the data we receive from employee service calls to pinpoint areas where your employees can benefit from additional education.

With this comprehensive and ongoing approach to educating and engaging employees, we hope to increase employee understanding of their benefits, encourage them to use their benefits more effectively, and ultimately improve their health and wellbeing.

Here are the key components of a 365 employee benefits communication campaign:

    1. Planning: The campaign starts with a planning phase in which the organization’s HR team and benefits consultant develop a communications plan that outlines the messaging, channels, and tactics to be used throughout the year. The plan should include a timeline of communications activities, target audience segments, and goals.
    2. Messaging: The messaging of the campaign should be clear, concise, and focused on the key benefits offerings that the organization provides. The messaging should be tailored to the needs and interests of the target audience, using language and examples that are relatable and easy to understand.
    3. Channels: The campaign should leverage a variety of communication channels to reach employees where they are. These channels may include email, social media, intranet, video, webinars, and mobile apps. The communications plan should outline the most effective channels for each target audience segment.
    4. Tactics: The tactics used in the campaign should be designed to engage employees and encourage them to take action. These tactics may include quizzes, challenges, surveys, events, and contests. The goal is to make learning about benefits fun and interactive, while also encouraging employees to take advantage of their benefits offerings.
    5. Metrics and Evaluation: The success of the campaign should be measured through metrics such as employee engagement, benefit utilization rates, and employee feedback. These metrics should be used to evaluate the effectiveness of the campaign and identify areas for improvement.
  • Lunch & Learns

During a lunch hour, our team can host a live lunch and learn or visit your location to provide needed education. Our will team stay onsite or online after the presentation and helped employees one-on-one with specific questions.

  • Monthly Wellness Webinars

We provide our clients and their employees with monthly educational webinars and several topics including mental health, physical fitness, stress management and self-care.

  • Mobile App: Open Enrollment

You will have the option to use Exude’s mobile app for open enrollment communication, distribution and education.  Within this app, we will also have the option to send push notifications throughout the year to communicate important updates and reminders. All of the communications we create are customized to assure your employees of the caliber of your benefits plan.

  • 24/7 Client Care Team

We understand the critical importance of providing excellent customer service for your employees, such that we invested heavily in the creation of an in-house 24/7 personalized client care team that functions solely as the advocate for each of your employees. If you choose, you will be assigned a dedicated Client Care Specialist who you or your employees will be able to call directly for any and all benefit related issues.

  • Employee Service & Advocacy

We understand that healthcare keeps no “regular” business hours, neither does our team. We’re up and running, 24/7, to alleviate your HR team’s administrative burden whenever there is an issue.

  • Employee Surveys

As part of our standard benefit offering, we conduct an all employee survey to understand what aspects of your benefits program are valued versus where employees think it needs improvement or where they would prefer different benefits. Depending on your corporate philosophy, your culture, and your employee preferences, Exude will help you design a robust benefit plan offering that meets your goals and retains your talent.

If you would like more in-depth understanding of employee needs beyond their feedback around employee benefit plans, Exude’s human capital consulting practice regularly conducts employee focus groups and engagement studies.

  • Exude Client Portal

The Exude Client Portal is a self-service platform that acts as another employee benefits communication tool and provides valuable features like:

    • HR Hotline: Service staffed by HR professionals who are available by phone or email to answer all your HR-related questions
