What is workforce planning?
Workforce planning is a systematic, fully integrated organizational process that involves thinking about your talent and how they fit with the current state of your organization and where it is going. By planning ahead, your organization can ensure you have the right number of people, with the right skills, in the right place, at the right time. It integrates the forecasting elements of talent management: recruiting, retention, redeployment, and leadership and employee development. Workforce planning allows organizations to assess their current talent against their strategy, identify where there are gaps, and helps create a plan to invest in those gaps to get the biggest return on their investment. Some of these “gaps” might include having the right person in the wrong role, having an underdeveloped person in the role, or having the wrong person for the organization as a whole. These gaps could be the result of an individual issue, as in the employee is not self-motivated, or the employee is self-motivated but is just focusing on the wrong things. Again, through the process of workforce planning, you can identify these pain points and create a strategy to ensure your organization is getting the most of your employees’ talent.
Who needs workforce planning?
We recommend workforce planning be done annually for all organizations – this process captures a snapshot in time and year over year people change, their skill sets change, and equally as likely, the environment can change. Organizations have a lifecycle and people, processes, and technology often get stale or become outdated as organizations change and grow, so making workforce planning a part of your yearly review/budgeting process is a best practice. If it is done annually, your organization can be proactive rather than reactive, avoiding failures and possible pains around attracting and retaining talent. That being said, going through workforce planning is an organizational commitment, so it might make sense for you to do it in bite-sized pieces and not lose sight of your overall people goals. Outside of an annual process, there are several root causes that generally lead to a reactive need for workforce planning:
